This describes how the website actually works. It is not an approved club policy; items marked "pending club approval" are unconfirmed.
Who we are

What we collect
When you send an enquiry, request a hosted media visit, register interest in the Solstice event, or use the simulated booking flow, we store in a PostgreSQL database:
- Name, email address and phone number
- Travel, group and message details you submit
- Orders, line items, pricing and guest details from simulated bookings
- Previews of guest emails and admin emails generated for those orders
Why we use it
- To respond to and manage your enquiry or request
- To plan events such as the Solstice event and hosted media visits
- To run the simulated booking flow
- To protect the service against abuse (logs and rate limiting)
Club notifications
A notification outbox stores a copy of your enquiry text and its metadata. When live sending is enabled, a notification may be sent via Resend to club recipients only. In test mode nothing is sent. You do not receive a confirmation email from this site.
Simulated bookings
Booking and payment on this site are a simulation. No real tee time is booked, nothing is charged and no card data is collected.
Technical data
Server logs record technical request data, and rate limiting processes request information to protect the service.
Service providers
Replit provides hosting and the database. Resend delivers club notifications to club recipients when live sending is enabled.
Pending club approval: Processor locations and any international transfers have not yet been confirmed.
Lawful basis and retention
Records, guest and admin email previews, outbox copies and any sent notification emails are kept until removed. Nothing is erased automatically; contact the club to ask for deletion.
